Deputy is our chosen scheduling app. On Deputy you will be able to see upcoming shifts, use Deputy to clock in and clock out of your shift, leave timesheet comments, add your unavailabilities and complete shift pulse at the end of your shift. Please see the Employee Guide for Deputy to help you navigate through this app

** Please note the following clauses which apply to NSG Deputy users.

You are not required to start and finish your break as this is automatically calculated. You are just required to start and end shift in Deputy which will create your timesheet.
If you are entitled to a lunch break (shift meets 6 hours) and must work through it, we will require a confirmation email from the facility that this has occurred, if we do not receive this you will not be paid for this time. The same goes for In Charge shifts for Registered Nurses, we need an email from the facility to confirm this. 
You are only able to start and end shift whilst on location as the app is geofenced to each facility. If you have any issues with clocking in or out of a shift please email bookings@nursingsolutionsnsw.com.au
If you cant work a shift you must email bookings@nursingsolutionsnsw.com.au you are unable to do this on the app.
You are unable to swap shift on the Deputy app, any requests need to be sent to bookings@nursingsolutionsnsw.com.au 
The newsfeed in Deputy is only for admin purposes

Troubleshooting for Deputy 

** At times when Deputy is not responding please try the following troubleshooting recommendations:

  • Make sure you are logged into Nursing Solutions Group profile.
  • Log in and log out of the app.​
  • Uninstall and reinstall the app.
  • Clear your phones app cache (instructions below)
  • Update your phone
  • Contact Deputy Help

NSG Payroll App

Xero Me App is the app Nursing Solutions uses for employees to view payslips. 

** Please note the following clauses which apply to NSG Xero Me users.

  • You are not required to create a timesheet in the Xero Me app, this is done on the Deputy app where it automatically creates a timesheet when you start and end your shifts.

  • Payslips are sent out Tuesdays and paydays are every Wednesday. (For all new start employees please allow 48 hours from scheduled pay day to receive you first pay).

Steps to Notify Nursing Solutions Group of a Workplace Injury or Concern:
  • Ensure immediate safety – Move to a safe area and seek medical attention if needed.

  • Report the incident ASAP – Notify your direct supervisor or contact the Nursing Solutions Group office as soon as possible.

  • Complete an Incident Report Form – This form must be filled out for all injuries or concerns, no matter how minor.

  • Submit the form – Send the completed report to the NSG HR or Compliance Team.

  • Follow up – If medical treatment is required or time off is needed, discuss further steps (e.g., workers’ compensation claim) with the HR team.

Why Early Notification is Important:
  • Ensures timely medical care and support

  • Prevents further harm to yourself or others

  • Allows NSG to take immediate corrective action

  • Fulfills legal and insurance obligations

  • Supports a safe and transparent work environment

Prompt reporting protects you and your colleagues—and helps Nursing Solutions Group maintain a safe, responsive, and accountable workplace.

Nursing Uniforms – an initial scrub shirt and badge for nursing staff are provided by Nursing Solutions. If you would like to additional scrub shirts please contact katrina@nursingsolutionsnsw.com.au or alternatively you can purchase scrub shirts and pants (Womens – WW620 V-Neck or Mens WW670 V-Neck) or scrub pants in the Caribbean Blue/Teal from MedShop or other suppliers. 

GSOs Uniforms (kitchen/cleaning/laundry) – you are to wear a black polo shirt, black suitable long pants and closed in non-slip kitchen appropriate shoes. These can be purchased from Big W, Kmart, Target or local unform stores. A name badge will be posted to you.

NDIS CLEARANCE FOR AGED CARE

 As of 2024 all RACF will be transitioning into servicing NDIS clients within the facilities. Therefore it is a requirement to work within these homes to have a current NDIS clearance. Click on the Apply for NDIS link below to apply online, you will need to ensure that you add Nursing Solutions as your linked NDIS workplace.

Once online form is completed you will need to visit a local Service NSW centre to provide and confirm ID and pay for the clearance. 

When your NDIS clearance is approved, you will need to go to your service NSW app and screen shot your clearance with NDIS clearance number and expiry date to recruitment@nursingsolutionsnsw.com.au this is kept on file for compliance purposes and forwarded to facilities via our facility portal.

NSG and Compliance

 

As an employee of NSG you are required to ensure that your mandatory competencies, documents and vaccinations are up to date to align with compliance. Please see the below and how often they’re required to be updated.

  • Criminal History Check (CHC) – although criminal history checks are valid for 5 years, in Aged Cared they are required to be renewed every 3 years. To avoid a lapse in compliance NSG requires staff to apply for a new CHC 60 days from 3-year expiry date and it to be on file 30 days from expiry. (It’s essential to understand that while possessing a valid NDIS clearance demonstrates your suitability for work within the disability sector, it does not fulfil all requirements, particularly concerning Criminal History Checks (CHC) and Statutory Declarations used in Aged Care. 

  • Statutory Declarations (Stat Decs) are renewed every 12 months, to avoid a lapse in compliance NSG requires staff to complete and return a new Stat Dec 30 days from 12-month expiry date.

  • Flu Vaccinations – are required to be received every 12 months and to be received 30 days prior to expiration.

  • NDIS Clearance – renewed every 5 years. 

  • Manual Handling – every 12 months (Nursing & NDIS Staff)

  • SIRS – every 12 months (Nursing + Kitchen staff)

  • Infection Prevention & Control – every 12 months (Nursing, NDIS + Kitchen Staff)

  • PPE & Hand Hygiene – every 12 months (Nursing, NDIS + Kitchen Staff) 

  • Medication Management – Assisting Clients (NDIS Staff)

  • Assisting with Medication – every 12 months (Nursing Med Staff)

  • Food Handler Basics (Nursing and NDIS Staff)- HERE

  • Waste Management – completed once (NDIS Staff)

  • Emergency Disaster – completed once (NDIS Staff)

  • AHPRA – every 12 months (Registered and Enrolled Nurses)

  • BESTDose – if you are a Med Comp AIN, EN or RN you must complete this online training session held every fortnight (Friday 1pm – 2pm) to be able to have access and work in and across selected facilities. If you have completed this session elsewhere, please send an email to recruitment@nursingsolutionsnsw.com.au and the team will be in contact. After completion of this course we do require you to send through a screenshot at the end of the course to confirm attendance. You are also required to enter in as agency and put Nursing Solutions down as this will register you under us with BestDose. (This course is not a paid course.)

NSG Availability Form

The NSG Team sends out a weekly email reminder to all staff regarding their availability for the upcoming week. This process is crucial for us to effectively allocate shifts, particularly those ad hoc shifts that arise and need to be filled promptly.

When you receive this email, please head over to the footer in our website and click “staff availability” and fill out the online form, indicate only the times and days you are available to work. It is important that this information is accurate to ensure efficient scheduling and optimal shift coverage. If your circumstances change after you have submitted your availability, please inform us immediately. We will then update your information and remove you from the list as necessary.
